Fixed Assets

Every asset's whole life, in the register and in the ledger

Buy, depreciate, revalue, move and sell your buildings, plant and vehicles. Each step posts its own voucher to accounts nobody can edit by hand, so the asset register and the balance sheet always agree.

The whole life of an asset

From the day you buy it to the day it goes

Each event is its own numbered voucher with its own screen. Open any of them later and you see exactly what was entered and what it posted.

Bring it on

Buy it straight from a supplier with an asset purchase invoice, or capitalise it from work in progress.

Depreciate

A monthly run per class, or for every class not yet run, posted as one journal.

Revalue or impair

Restate it to a new value, or write it down after a physical check. Both reverse cleanly.

Move and verify

Transfer between locations, split one into several, merge several into one, and count what you own.

Dispose

Sell it or scrap it. The gain or loss on disposal is worked out and posted for you.

Depreciation

Three methods, one run, no spreadsheet

Each asset class carries a default method and rate, and each asset can have its own. Preview the month, check it, then post. The screen remembers which classes are done for the month.

  • Run class by class, or every class still left for the month in one go
  • Book value never drops below salvage, and a fully depreciated asset is skipped
  • An asset entered late catches up the months its class has already posted
  • Posted the wrong month? Cancel the newest run and run it again
  • Idle equipment can be set inactive, so it stops depreciating until you bring it back
How each method worksper month

(Cost − salvage) × rate ÷ 12the same charge every month

SL

(Cost − depreciation so far) × rate ÷ 12a larger charge early on

RB

(Cost − salvage) × units this month ÷ total unitsan idle month charges nothing

Revaluation

Restate an asset to its new value. An increase goes to revaluation surplus in equity; a decrease is a revaluation loss. Depreciation then runs on the new value.

Impairment

Write damaged or obsolete assets down, usually after a physical verification. It can never exceed book value, and it can be reversed if the value comes back.

Disposal

Sell for cash, to a bank account, or on credit to a customer, or scrap it. Cost and depreciation come off, and the gain or loss is posted automatically.

Where it is and what it is

Register changes leave a trail, even when no money moves

Transfers, splits, merges and verifications don't touch your accounts, but each still gets a numbered voucher, so the register's history is complete.

Transfer

Move an asset to another location. Its current location is shown, so you can't move it to where it already is.

Split

One asset into several. Cost, depreciation, revaluation and impairment are shared out in proportion.

Merge

Several assets of the same class into one. The originals stay listed with their history.

Verification

Count what you own: found or missing, and its condition. Its findings feed the impairment run.

Getting started

Bring your existing assets across in one file

Most companies already own assets sitting in old accounts. The onboarding workbench moves them into the register cleanly, with every number reconciled.

  • Put the current book value on the fixed-asset clearing account, as an opening balance or a journal
  • Download the workbook. Your classes and locations are already filled in
  • List the assets with cost, depreciation to date, class and location, then upload
  • Every row is checked first, and the total must match the clearing balance. Then one opening voucher clears it to zero

Asset Register

Cost, revaluation, depreciation and book value for every asset, as at any month. Revaluation stays in its own column.

Asset History

One asset's whole life in order, from purchase to today's book value, with a print-ready PDF.

Locked accounts

Cost, depreciation, disposal and revaluation accounts are created for you and can't be edited, re-coded or deleted by hand.

Linked to production

Link a production machine to its asset, and the machine's cost per hour uses the asset's own book value and rate.

Fixed Assets questions

Frequently asked

No. Once a company switches it on, it stays on, and a plan change won't remove it. Posted depreciation, disposals and revaluations depend on it, and switching it off would leave them stranded.

Land (not depreciated), Buildings, Plant & Machinery and Vehicles. Add your own up to 30 classes per company. Each class gets its own cost, accumulated depreciation and expense accounts automatically.

Yes. The screen shows what will move before you save, and a class-change voucher moves the cost and depreciation to the new class's accounts, so the register and the ledger stay in step.

No. It keeps one set of book depreciation in your accounts. If your tax rules use different rates, work those out separately.

Fixed Assets isn't sold on Starter. Move to Business and add it for $20 a month, or to Enterprise, where it is included.
